Set Configuration Retention

Define disposal milestones and avoid presenting vault deletion as guaranteed media sanitization

An export snapshot is not a live provider backup. Record the SaaS product, tenant, export method, schema or API version, change window, secret-scan result, named owner and tested import or rebuild route.

01 / DECISION

Protect the configuration snapshot without hiding ownership

Configuration snapshot history can support accountability, but indefinite retention expands exposure and confusion. Tie retention to configuration change, post-configuration change review, contractual duties, litigation holds and product-record needs. Distinguish deleting an archive entry from verified sanitization of every underlying device and backup.

Admin-team scenario

A SaaS administrator freezes a pre-backup snapshot version for platform owner review. The team first proves the workflow with fictional configuration evidence files, documents each authorized role and preserves the working source separately.

02 / PROCEDURE

Run the control sequence

  1. 01

Classify artifacts by decision, legal and operational value.

  2. 02

Assign review dates tied to configuration change and post-configuration change snapshot versions.

  3. 03

Check holds, contracts and records obligations before disposal.

  4. 04

Retire superseded access and document archive disposition.

  5. 05

Use approved media sanitization for storage that truly must be cleared.

03 / RECORD

Preserve decision evidence

Record class, snapshot version, retention basis, owner, review date, hold status, access removal, archive action, media action, approver and completion evidence.

Stop when

  • Retention is “forever” without a stated reason.
  • A hold or contractual duty has not been checked.
  • Vault deletion is described as guaranteed device sanitization.

The record should show the approved snapshot version, tested environment, responsible people and known limitations without storing passwords or unnecessary configuration snapshot content.

04 / BOUNDARY

Separate the surrounding controls

Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. Encryption does not assign provider permissions, verify a recipient, preserve every backup or remove plaintext working copies automatically.

05 / QUESTIONS

Configuration snapshot archive questions

Should the encrypted archive become the live configuration snapshot?

No. Keep the authoritative editable plan in the approved working system and archive named snapshot versions deliberately.

Does resetting a password recover an existing archive?

Do not assume so. Document the product-specific recovery boundary and test a separate recovery copy.
